QUALIFICATIONS

The Business Office Assistant will:

  • Be well-grounded in God's Word, so that FVL's entire educational program is led in keeping with our mission of preparing students for lives of service and for eternity.
  • Sit at the feet of Jesus through regular personal and public Bible study.
  • Be an active member of a WELS or ELS congregation.
  • Possess a minimum of an Associates Degree in business, finance, accounting or business administration (or possess equivalent work experience).
  • Possess the self-discipline necessary to work proactively and without direct supervision.
  • Be proficient in the use of technology.
  • Possess strong written communication skills.

RELATIONSHIPS

The Business Office Assistant:

  • Is hired by the Director of Operations.
  • Is accountable to and reports to the Business Office Manager.
  • Works with the Activities Assistant to issue invoices for rental events.
  • Works with the Band Director for Middle School Band billing.
  • Works with the Activities Director, coaches, and club advisors to communicate available funds.

RESPONSIBILITIES

The Business Office Assistant:

  • Bills and tracks payment for all facility rental customers.
  • Bills and tracks payment for ThedaCare contract.
  • Reconciles and reports out regularly on non-budgeted funds (i.e. clubs, gifts, etc.)
  • Assists with regular audits of all financial systems.
  • Maintains accurate vendor records.
  • Completes all credit applications for new vendors.
  • Pays invoices in a timely manner.
  • Creates and reconciles cash boxes for all athletics and activities.
  • Works with the Activities Assistant to pay officials and entrance fees for athletics and activities.
  • Reviews and posts cash deposits.
  • Reconciles eFunds and LeagueApp payments.
  • Processes student billing. 
  • Reviews and contacts families regarding outstanding tuition and fees. 
  • Provides training to internal Skyward users of the Finance and Employee Access modules.

Hours:

  • This position will be 20 hours/week and is not eligible for insurance.
  • This position will be Mon.-Fri. year-round, 4 hours/day.
